What is an Item?

An Item represents an Inventory SKU that can be entered into the system for Selling and Purchasing. You can use the Create Item module to manually create SKUs or you can use the Upload Products module if you have variants enabled on your instance and Upload Items if variants are disabled.

The Item Module and the Item Details

Primary

  • Active Item: Checking this box means it can be added to modules (estimate, purchase order, etc.). Unchecking it means it can no longer be added to modules.
  • Item Type: The item type, Inventory Items have their quantities tracked but the others do not. Select from: Inventory, Labor, Non-Inventory, Service, Shipping
  • Item Number: The item’s (SKU) number. This property is unique to this item, another item cannot be created with the same Item Number.
  • Description: The item’s description.
  • SKU UOM: Select the unit of measure (UOM) for the item, this controls how the item is sold and purchased. Certain UOM’s allow the item to be entered in decimal quantities, such as liters or kilograms. Others only allow integer quantities, like each.
  • Standard Unit Price: The standard price at which to sell this item. This price is retrieved by default when an item is added to an estimate or sales order.
  • Standard Unit Cost: The standard cost at which the item is purchased from vendors.
  • Sales Tax Code: The default tax code to sell this item. This tax is retrieved when an item is added to an estimate or sales order.
  • Purchase Tax Code: The default tax code to purchase this item. This tax is retrieved when an item is added to a purchase order.

Inventory

  • Is Stocking Item?: Check this box if the item is regularly kept in stock.
  • Re-Order Point: The minimum quantity to hold of this item such that when it drops to this amount, the item should be replenished.
  • Re-Order Qty: The amount to re-order when an item’s stock reaches the re-order point quantity.
  • Sell Package Qty: The quantity that is sold per package.
  • Hazmat Code: The item’s hazmat code.
  • Item Brand: The item’s brand.
  • UPC: The item’s UPC code.
  • Barcode: The item’s barcode number.

Manufacturing

  • Is this Item Manufactured?: Check this box if this item is manufactured using the manufacturing order (MO) module.
  • Is this Item used as Raw Material?: Check this box if this item is consumed to produce another item.
  • Raw Material WIP Account: Select a Work in Progress account for this item.

Weight & Dims

  • Size UOM: The unit of measure for the item’s size (e.g. cm, ft, m).
  • Length: The item’s length.
  • Width: The item’s width.
  • Height: The item’s height.
  • Weight UOM: The unit of measure for the item’s weight (e.g. lb, kg, g).
  • Weight: The item’s weight.
  • Diameter: The Item’s Diameter.
  • Centre to Centre: Centre to Centre measurement.

Accounts

  • Asset Account: The item’s asset account. This account will be used in future transactions for this item (bills, invoices, etc.).
  • COGS Account: The item’s cost of goods sold account. This account will be used in future transactions for this item (e.g. invoice).
  • Expense Account: The item’s expense account, available for non-inventory items. This account will be used in future transactions for this item.
  • Income Account: The item’s income account. This account will be used in future transactions for this item (e.g. invoice).
  • Adjustment Account: The item’s adjustment account. This account is used as the default inventory adjustment account.

  •  If this setting is checked, the sales tax for this item will always be selected as the default sales tax unless changed manually.

Other Attributes

  • Is this Item Returnable?: Check this box if the item is returnable?
  • Is this Item Sellable?: If you check this box, the item will be available to add to Sales modules. If you uncheck it, the item cannot be added to Sales modules.
  • Is this Item Purchased: If you check this box, the item will be available to add to Purchase modules. If you uncheck it, the item cannot be added to the Purchase modules.
  • Category: Select a category for this item.
  • Default Vendor: Select a default vendor for this item.
  • Product Group: Select a product group for this item.
  • Alert Note: Enter an alert note here for this item. Every time this item is added to a module, this alert note will appear to the user.
  • Sales Note A note for sales.
  • Purchase Note: A note for Purchasing.
  • Web URL: An internet link for the item can be entered here.
  • Image: An image of the item can be attached here.

Advance Pricing

  • Add Multi-Currency Pricing of the Item.

Variant Info

  • Select a Base Product and add the Variant Info.

Sales Forecast

  • A prediction/target can be set for a particular Year, under a given Month for the quantity of the Item to be sold in the “Sales Forecast” tab of the create Item module.
