DATA EXPORT SETTINGS
Import products into Shopify: On Uncheck, it will not import any products from Xoro to Shopify whereas, on a check, it will import products from Xoro to Shopify. In addition, it deals with few checkboxes which act as a filter to import products from Xoro to Shopify.
These are listed as below:
- Update SKU Changes in Shopify once it gets updated in Xoro: Whenever any SKUs get updated at Xoro, it will update the SKUs at Shopify. Moreover, it will only update those products which are selected from fields list such as variant unit cost, variant unit Price, Product Tags Update, Product Title, Product Category, Product Vendor, Update Images, UPC, weight, country of origin, HS code and Product Tags override. You can only select one field either Product Tags Update or Product Tags override and you can select one or more fields from the list by using the ctrl key.
- Track quantity: It will keep track of each quantity at Shopify which includes store location name with an available and incoming inventory. In addition, it shows inventory history option which includes fields such as Date, Event, adjusted by, Adjustment and Quantity of the SKUs at Shopify.
- Allow customers to purchase this product when it’s out of stock in Shopify: It will allow the customers to purchase products from Shopify even when their inventory is out of stock.
- Publish Product in Shopify: This will publish the products in Shopify.
Item Price Currency Code: It will import only those items from Xoro to Shopify whose currency code is selected from the currency code list such as CAD or USD.
Price field: It will import only those items from Xoro to Shopify whose price field is selected from the list such as Standard unit cost, Standard unit price, Wholesale price, CP2 or another price field.
Link items containing the following tag (s): It will update and sync only those Items in Shopify whose tags are selected from the tag list. Moreover, you can also select one or more tags from the list using the ctrl key.
Export Products to XoroERP: On check, it will export all products from Shopify to Xoro but we generally keep this checkbox uncheck as we do not export products from Shopify to Xoro.
Export Customers to XoroERP: On the check, it will export all customers from Shopify to Xoro and there are two options to export customers i.e. Export individual customers and another is to use a single default customer to export all orders.
- Export Individual Customer to XoroERP will save all the Customers to the XoroErp from the Shopify Orders.
- On the other hand, selecting the option to “not export Individual Customers to XoroERP will use only a single “Default Customer” for all the Orders dropped into Xoro.
- Default Customer Name: Enter the customer name that you want to use to export all customers from Shopify to XoroERP.
- Account Receivable: Enter the receivable account from the list that will be used for the customer.
Export Orders to XoroERP: On Uncheck, it will not export any order from Shopify to Xoro and on check it shows few filters option which helps to export customer orders and you can select one filter name from the list (Ship To Country, Is POS order, Fulfillment channel), one Operator from the list (Contains, Equals, Not Equals, Is Empty, Is Not Empty) and enter a value to make a custom filter to export required orders. Moreover, you can also add more filters by using “+” button as well as to remove filters use “-” button.
Sale Store: You can select a sale store from the list that will be used to drop orders/invoices from Shopify to Xoro and it will not drop any order/invoice to any other sale store.
Ship Store: You can select a ship store from the list that will be used to drop orders/invoices from Shopify to Xoro and it will not drop any order/invoice from other ship stores.
Note: Sale as well as ship store name can be the same or different.
Payment Account: Select a dedicated account from the list to record payments received for all sales in Shopify. All sales transaction will be done using this account.
Liability Account: Select a dedicated account from the list to record and when deposits are taken , liability is increased in this account and when deposits are applied, liability is decreased.
Shipping Expense: Select a particular account to keep track of all shipping expense such as shipping return on an order.
Exempt Tax Code: It defines whether the order is exempt from sales tax or not, if yes then select Tax Exempt otherwise select a valid sales tax code according to state/province wise for an order such as GST, PST, H or standard.
Tax Calculation Type: It defines whether the tax is calculated on an order which is based on origin, destination or combination of both i.e. Origin Hybrid.
Project/Class: Project/class will be assigned to all the orders such as Online, Retail, Wholesale or Activation and this class can be used to do payments and refunds for reporting purposes.
Return SKU: Entre SKU name that will be used in case of returns when no SKU was provided.
Default SKU: Entre SKU name that will be used in case of orders when no SKU was provided.
Use default SKU when SKU not found in Xoro: When SKU not found in Xoro it will use the above-defined default SKU.
Tax Country: Select a tax operation country from the Country list such as Canada or United States so that it can apply tax according to country.
Tax States: Entre Country’s states name so that it can apply tax according to state(s) wise and you can enter more than one state(s) using “,”.
Default Sales Rep: Select a sales rep from list that will be set as a default sales rep for the Shopify account.
Default Payment Terms: Select default payment terms from the list such as COD, 50% deposit or NET 10 that will be applied by default on orders.
Default Carrier: Select a carrier from the list such as FedEx or UPS to set as default carrier for Shopify orders.
Default Ship Service: Select shipping service from the list such as FedEx Economy, UPS 2 DAY and others to set default ship service used for Shopify orders.
Map shipping service defaults by country: You can also set shipping service default by country wise and it includes three filters named country name, carrier and ship service where you can set country’s carrier and ship service. You can add one or more custom filters by using “+” button as well as to remove filters use the “-” button.
Default Shipping Terms: Select shipping term from the list such as prepaid, collect, prepaid & Billed, collect & allowed and third-party billing to set default shipping term for Shopify account.
Order Type:
Turn Off All Payment: On check, it will drop only orders and disable the order(s) invoices and payments.
Enable Multi-Currency: On check, it enables the multi-currency option and you have to enter a multi-currency app name then select a particular currency code such as USD, CAD, and other currencies from the list. Moreover, select an account that only deal with this currency from the list as all transactions will be done using this account and last, entre a rate formula to exchange the current currency price. For example, Formula: UnitPrice * 0.90 where UnitPrice is the amount in current currency. You can add comma separated multiple formulas separately for Unit and Shipping Price.
Use XoroERP WMS to pack and ship inventory items: Xoro WMS will do pack and ship the inventory items of any order whereas on uncheck it will not perform pack and ship process from XoroERP WMS.
Location Name: Entre location where inventory will be depleted/returned from/to this location for Shopify orders and no other location can be used for depleted/returned.
Send fulfillment back: It will send a fulfillment notification when an order is shipped from Xoro to Shopify which includes the Invoice# and shipping#.
Auto release sales orders: It will automatically change the order status from open to release and it will show an additional option of auto wave sales order to check or uncheck according to requirement.
Auto wave sales orders: It will automatically do the wave process i.e. create and pick wave for a sales order and ask to enter comma-separated values for Risk Recommendation values such as (cancel, investigate and accept).
Inventory Sync Settings
Update Shopify stock level when a product’s stock level is updated in XoroERP: It will update the product’s stock level in Shopify when as well as Xoro system which is based on any single selected below inventory field.
Inventory Fields:
On Hand = Available + Not Available. Total goods both undamaged and damaged.
Available: An “Available” item is considered to be regular on hand inventory which can be sold. Please note that Available + Not Available = On Hand.
Net Available = Available – Allocated (this can never be a negative quantity). This is essentially the units left after allocation/waving.
ATS = Available – On Released SO. The Available units after being added to a Released Sales Order.
ATS (Inc PO) = Available + On Released PO – On Released SO. The Available units after being added to a Released Sales Order plus what is on a Released Purchase Order.
Use multilocation inventory/order update: It enables the multilocation inventory update where the first column defines the available store name whereas next column defines the xoro location which generally written as Xoro location code and the last column defines the Shopify Store locations so, it gives a clear picture of Shopify store that matches with Xoro Location.
IMPORT/EXPORT SETTINGS
Time Zone: We generally set at (UTC-08:00) Pacific Time (US and Canada).
Enable auto import/export: On check, it enables auto import/export where you have to enter the following details:
- Integration Start Date: Select the date and enter time using the calendar from which onwards you want to start import/export process.
- Hour and Min: Select hours and minutes from the list that defines the time interval between the consecutive Imports/Exports.
Receive import error notifications by email: You can receive import error notifications on one or more than one email by “,” separating values.
Send daily error email: You can receive a daily error file on one or more than one email by “,” separating values.
