Please refer to the below information on the usage of Customer’s Emails such as “Main Email”, “CC Email”, “Billing Email”, and “Shipment Update Email” in the system.
In the Customer module, under the “Contact Info” tab, you need to define the Emails that will be used to update the Customer regarding the Shipment release, sending the Invoices, Shipment update, etc.

Also, under the “Address Info” tab, you can add “Bill To Address Email” and the “Ship To Address” Email.
Please Note: Bill to Address email and Ship to Address email will be used from the Order/ Invoice and not the Customer module. This Email is picked from the Customer but can be changed while creating an order.
A default “CC Email” can also be set from the “Email Template Configuration” module to receive all the information regarding different entities in Xoro such as SO/PO/Invoice, etc.
Now, let’s understand the priority/flow of the usage of these Customer Emails for sending:
- Ship Confirmation Email
- Payment links
- Release SO Email
- B2B Orders
- Overdue Invoice
- Estimate: Approval Email/Add to Email queue
- Payment success Email
- Decline Payment Email
- Estimate emails
Please Note: “**” Means the Email will always be sent to this Email address.
In other cases, the emails will only be sent to the first priority email address available.
Ship Confirmation Email
The system will send the Ship Confirmation email to the following Email Addresses:
- Ship to Address Email
- Shipment update Email
- If the above is not available, the Email will be sent to the Main email of the Customer.

1. Deposits
The system will look for the emails in the following sequence to send the “Deposit links email” to the Customer:
- Billing Email
- Main Email
** Template CC Email
2. Invoice Payment link
The system will look for the emails in the following sequence to send the “Invoice Payment Link” to the Customer:
- Billing Email
- Main Email
** Template CC email
Release SO email
The system will look for the emails in the following sequence to send the “Release SO Email” to the Customer:
- Main Email
- Customer CC email
B2B Orders
The system will look for the emails in the following sequence to send the “New sales order notification in B2B” to the Customer:
- Main email
- Customer CC email
** Added emails in the App Config settings.
- ** Selected Sales Rep
- ** Template CC email
Overdue Invoice
- Bill to address email (of the invoice)
- Billing email
- Main email
- Customer CC email
Estimate
