App Config module – The ERP Settings

The App Config page has settings that control how the ERP behaves in certain situations.

Please Note: Some of these settings can cause massive changes in the system’s behavior. If you are unsure of any settings, please log a ticket before changing anything.

Advanced Item SearchIf this setting is turned on, the item dropdown in various modules can search the item by providing multiple keywords in arbitrary sequence separated by a ‘space’.
Note: This feature can make the item search slower if the number of items in the item Centre is greater than 500.

Item UPC ValidationYou can specify the regular expression which system will use to validate Item UPC when creating/updating Items(s). For example ([0-9]{12}). This means the Item UPC must contain sequence of 12 digits.Enter a Regular Expression.

You can also specify the number of days the email should be sent after the email is due using the app config “Overdue Invoices reminder email interval in days”.Acceptable values are “Y” or “N”.
Overdue Invoices reminder email interval in daysYou can specify the interval at which the system should send the email reminder for overdue Invoices. For example: If you enter 3, the system will remind the Customer every 3rd day until the Invoice is marked as Paid. The first email will be sent on the 3rd day after the due date of the Invoice.Enter the number of days.
Apply Default Tax on ShippingTurn ON this setting to apply Default Tax on Shipping.Acceptable values are “Y” or “N”.
Restrict expired Estimates to be converted to SOTurning this setting ON will restrict Expired Estimates to be converted to SO.Acceptable values are “Y” or “N”.
Block Operations for Customers on holdSelect the operations such as: Create/Update Estimate, Create/Update SO, Release SO, etc. to be blocked for the Customers on hold.Select the operation(s) to be blocked from the list provided.
Apply “Update Released SO” authorization only to the item(s) containing following categoriesApply “Update Released SO” authorization only to the Item(s) containing the categories mentioned.Select the Item Categories.

Ship Confirmation email SourceSelecting one of these options will decide which email type will be used when sending Ship confirmation. If the User email is not set up then it will send an email through the Company email.Select the User Email or the Company Email.
Enable Invoice due reminder emailsIf this setting is enabled, the Customers will receive the Invoice due reminder emails daily at the time specified by “Due/Overdue Invoice Reminder Time”. You can also specify the number of days the email should be sent before the email is due using the app config “Invoice due reminder email interval in days”.Acceptable values are “Y” or “N”.
Invoice due reminder email interval in daysYou can specify the interval at which the system should send the email reminders for due invoices in upcoming days. You can send multiple reminders by entering the days represented by a comma. For example (7,3,0). This means the system will remind the customer 7 days before, then 3 days before, and then on the due date until the invoice is marked as paid.Enter the comma-separated “Number of Days”.
Due/Overdue Invoice Reminder TimeThe Due and Overdue Invoice reminder emails will be sent to the Customers at this time daily (Format – HH:MM).Enter the specified Time.
Enable shipping details for pick up shipping methodIt will enable the shipping deatils in when ship method is pick up.Acceptable values are “Y” or “N”.
Auto Inventory AdjustmentThis will create inventory adjustment while creating wave in case of insufficient inventory.Acceptable values are “Y” or “N”.
Use logged in user as Sales RepIf this is enabled the system will check the currently logged-in user role, and if it is “Sales Rep/Sales Management”, then it will be automatically selected as Sales Rep for the Sales Modules.Acceptable values are “Y” or “N”.
Restricted customer access for sales repsIf this setting is turned on, the sales reps will be able to load their corresponding customers in the customer selection dropdown menus across the entire application. This will restrict sales reps to only creating orders/invoices for the customers they are assigned to.Acceptable values are “Y” or “N”.
Date offsets for Sales Order, Estimate, and Invoice DateIf this setting is enabled, order/estimate dates will be automatically calculated based upon the offset specified in days for each date type. For example: If the offset for “Date To Be Shipped” is set to 30 and the order date is Jan-01 then it will be set to Feb-01 based on offset calculations.Enter the specified Date.
Disable Default Quantity of Item on Add Item in Sales OrderWhen enabled it will blank the quantity field on add item on sales order.Acceptable values are “Y” or “N”.
Default ship carton configurationThis setting will decide how many default ship carton(s) are created when shipping the order.Select the required option from the dropdown.
Enter the quantity for One carton per itemEnter the quantity value for the default quantity in carton.Enter the required vale.
Enable Daily Invoice EmailsIf this setting is on, the system will send invoice emails once per day to the customers at the time specified in the app config. This will only send emails for invoices created on the same day and for which emails have not been sent already. You can disable this feature per customer by disabling this setting on the customer level. (Note: This is helpful for the situation where order tracking information is entered at the later stage after marking the order as shipped.).

Send email notifications when PO linked sales orders are auto-wavedIf this setting is enabled, the system will notify the sales rep or customer or both (based on the selection) when the linked PO is received and sales order is automatically waved for picking.Select the required option.

Update Exchange Rate Manually If you set this option as yes, then exchange rates will not be automatically updated using Xoro.Acceptable values are “Y” or “N”.
Show balance in Chart of AccountsAllows to show balance in Chart of Accounts.Acceptable values are “Y” or “N”.
Allow all accounts in Item Expense AccountThis setting will allow all applicable accounts to be selected in the Item Expense Account selection.Acceptable values are “Y” or “N”.
Use Last Non-Zero Average Cost When this setting is ON, the system will use the last non-zero average cost where needed in the transactions instead of the actual average cost.

Default Customer Refund AccountIf you set the value for the config, then that value will be used as the default refund account for Credit Memo, Customer Deposit, Invoice Payment.Select the required Account.
Exchange Rate Decimal PrecisionThis setting will determine the decimal precision for the exchange rates when updated using API. The default value is 2 decimal places.
Note: This setting is only applicable to exchange rates updated using API and will not apply to the manually entered exchange rates in various modules of the application.

Short inventory notification levelUser can set the inventory level in this config based on which the short inventory notification emails will be sent.
